You’re Losing Leads to Email Ping Pong
Care coordinators risk losing leads due to slow email exchanges. Streamlined technology and timely responses improve scheduling, engagement, and competitive advantage.
Care coordinators often struggle with delays in responding to leads due to excessive email exchanges, which can lead to lost opportunities. The back-and-forth communication creates confusion and scheduling conflicts, making it difficult to secure meetings with potential clients. Timely responses are essential to maintain a competitive edge, as delays can allow competitors to engage leads more effectively. To combat this issue, organizations should invest in proper technology to streamline lead intake and scheduling processes. Prioritizing efficient communication strategies is crucial to prevent the loss of potential clients.

You put yourself in the shoes of a care coordinator or someone that's in charge of admissions, they just had a fantastic fourth of July weekend, and they sit down on Monday morning and start to go through their emails. And they see all the different leads that had reached out, And they listen to the voice mails and start reaching out to the different folks. They're playing email ping pong as we call it. Janet sends an email saying, I'm really interested in your care services. I'd love to meet Monday at three PM. But when you see this at Monday at eleven AM when you're finally getting through your email, you realize, oh, shoot. I have a meeting at three PM. Let me email them back saying, I can do any time after three thirty PM on Monday. Janet emails you back saying, I can't do that. How about Tuesday? What times do you have open? You then respond back after your three thirty meeting because you, you know, were in all your meetings and things were happening on the floor, And you say, Tuesday, these different times work. Janet then responds with a time. You send over the invite, and you're locked in. But in that scenario, three, four, five, six emails have not gone back and forth. Hours have gone by. And those are hours that your competition could be reaching out, connecting with them, and meeting with them as quickly as possible. If you don't have the right technology set up to intake those leads, to give someone a wave and say, hey. I'm over here. Let's schedule a tour. Let's schedule a care consultation. Let's book an interview. You're missing out on tons and tons of leads.
